Awards on Event Day
This page covers how awards are managed during an event — assigning recipients, running the script writing workflow, locking scripts for the ceremony, and managing presenters.
Who uses this page:
- Judge advisors — assign awards, manage the script writing workflow, approve scripts, and lock for ceremonies.
- Judges — write scripts for awards released to them and mark them ready for review.
Access the event awards board from the Event Day section by navigating to your event and selecting the Awards tab.
Prerequisite: You need the Judge Advisor or Judge event day permission for the event. See Permissions for how to grant these. The Judge Advisor interface must be enabled in the Event Day Settings for the event — see Event Day Settings.
The awards board
The awards board shows all awards for your event in a single view, derived from the event’s template. There is no separate “create awards” step — every award defined in the template is immediately visible on the board from the moment the event exists.
The board is organized by presentation order, matching the ceremony sequence defined in your template. Awards are grouped into:
- Fixed awards — show a row for each expected recipient (1st place, 2nd place, etc.), each with an assignment status.
- Pool awards — show a list of current recipients with a button to add more.
- Free-response awards — show one-off awards created during this event (only visible when the template allows them).
Assigning awards
Assigning a fixed award
Fixed awards have a set number of places (e.g., 1st, 2nd, 3rd). Each place shows as an empty slot until assigned.
- Click Assign on an empty place slot.
- Search for the team by name or number, or enter a manual recipient name for non-team recipients.
- Save.
The assignment appears immediately on the board. To change an assignment, click Edit on the slot and select a different team or enter a new recipient name. To remove an assignment, click Unassign.
Assigning a pool award
Pool awards can be given to any number of teams — there is no fixed recipient count.
- Click Add recipient on the pool award row.
- Search for a team or enter a recipient name.
- Save.
Repeat to assign the same award type to additional teams. Each assignment appears as a separate row under the pool entry. Remove an assignment by clicking the remove button on that row.
Creating a free-response award
When the event’s template has Allow free-response awards enabled, a New award button appears at the bottom of the board.
- Click New award.
- Enter the award name.
- Optionally write a script.
- Assign a team or manual recipient.
- Save.
Free-response awards appear on the board alongside template-based awards. They can be deleted while unassigned; once assigned, they remain until the event is complete.
Publishing awards
Awards are not visible to teams or the public until published. Use the Publish toggle on each award to make it visible. A Publish all bulk action is also available.
Tip: You can assign all awards and then publish them together at the moment you want results to go live — for example, after the closing ceremony.
The script writing workflow
Each assigned award goes through a script state before the ceremony. The states are:

| Unreleased | Not yet released to judges. The judge advisor (or a designee) still needs to release this award for script writing. |
| Released | Released to judges. Assigned judges can write and edit the script. |
| Submitted | The judge who wrote the script has marked it ready for review. |
| Approved | The judge advisor has reviewed and approved the script. Judge edits are no longer allowed. |
| Locked | The script is final and cannot be edited by anyone. Locked scripts are what is read at the ceremony. |
Releasing awards for script writing (Judge Advisor)
Awards start in the Unreleased state. Before judges can write scripts, you must release them.
You can release awards individually or in bulk:
- Individual release: Click Release on an award row.
- Bulk release: Use the checkboxes to select multiple awards, then click Release selected.
When releasing, you can optionally target specific judges. This is useful when you have multiple judges and want each to write scripts only for their assigned awards. If you leave targeting empty, all judges on the event can write scripts for any released award.
Writing scripts (Judges)
Judges see only awards that have been released to them. For each released award:
- Click the award to open it.
- Write the script in the text editor.
- Click Mark ready for review when the script is complete.
The award moves to Submitted state to signal the judge advisor that it is ready to review.
Note: Judges cannot edit a script once the advisor has approved it.
Approving scripts (Judge Advisor)
Submitted scripts appear highlighted on the board. To approve:
- Click the award to open it.
- Review the script.
- Click Approve.
The award moves to Approved state. You can also approve from Released state without waiting for the judge to mark it submitted — for example, if you are writing scripts yourself.
Locking scripts for the ceremony
Locking is the final step before the ceremony. Locked scripts cannot be edited by anyone.
Manual lock: Select approved awards using the checkboxes and click Lock selected.
Automatic lock: When the event-day status advances past deliberations (to the closing-ceremony or awards phase), Lumieos automatically locks all remaining approved and released scripts. Any scripts that are still unreleased at that point are also locked with whatever content they contain at that moment.
Once the event is complete, all scripts are permanently locked and version-pinned — the ceremony text is preserved forever.
Presenters
Each award (and each script page in the ceremony) can have a presenter name assigned — the person who will walk to the stage and hand out the award or read the script.
To manage presenters:
- On the awards board, click the Presenters tab (or the presenter field on an individual award row).
- Enter the presenter’s name for each award or script page slot.
- Save.
Presenter names appear in the printed ceremony script so the emcee and stage manager know who to call up.
Printing the ceremony script
To print or display the ceremony script for your event:
- From the awards board, click Ceremony Script.
- A formatted, printable view opens showing awards and script pages in presentation order, with the script text and presenter name for each.
For events that are part of a combined ceremony, the combined script is accessed from Region Management → Awards → Script Pages — see Combined Scripts.
