Event Day — Attendee Guide

This page covers what to expect as a team attendee on event day, from check-in through activities and schedules.
Before You Arrive
Before event day, check your team’s registration card in the Your Registrations section for:
- Venue address and logistics — posted by the organizer once confirmed
- Team agenda — if the organizer has published a day-of schedule, your team’s specific times for matches and judging will appear here
- Links and downloads — any team packets, maps, or information files the organizer has shared
If activity pre-registration is available (such as optional workshops or specialized judging sessions), make sure to complete it before event day. An alert on your registration card will indicate when activity registration is open.
Check-In
Upon arrival at the event venue, your team must check in at the pit admin desk or check-in station. A staff member will mark your team as checked in in the system. Your registration status will change from “Not Checked-In” to “Checked-In.”
If your team does not check in, your registration status may be updated to “Did Not Attend” after the event.
Check-in is managed by event staff, not self-service. Bring your team number and any registration confirmation your organizer has requested.
Schedules and the Event Agenda
Once schedules have been published by the event organizer, they are visible on the event’s public page under the Schedules tab. Your personalized schedule — showing your team’s specific match slots and judging session times — also appears in the agenda card on your registration in team management.
The public event agenda shows the overall day structure. If your organizer has posted a public agenda, you can view it on the event’s Details tab. A personalized agenda card is also shown in team management when both an agenda and schedules are available, combining the day’s timeline with your team’s assigned times.
Activities
Some events include optional or required activities beyond the main robot game and judging sessions. These may include:
- Specialized judging tracks
- Workshops or supplemental sessions
Pre-Registration for Activities
When an event has activities that accept pre-registration, an alert appears on your team’s event card in the Events tab of team management. The alert shows:
- Which activities have open pre-registration (with registration close times)
- Which activities use self-service registration (available on demand)
- Which activities have upcoming registration windows (with open times)
Click the Open Activity Registration button to view and sign up for available activity sessions.
Self-Service Registration
Some activities support self-service registration, which allows teams to register on the spot — typically for practice table slots or walk-up sessions. When self-service registration is active, the activity registration page will indicate which sessions are available and let your team select a slot.
Practice Tables
Practice table access is part of the pit admin and self-service registration system. If your event has practice tables configured for self-service, they will appear as a registerable activity when self-service is active. Check the activity registration alert on your event card or ask event staff when practice tables are available for self-service sign-up.
Not all events have practice tables configured for self-service reservation. Some events manage practice table access through other means. Ask your event staff if you are unsure.
Event Day Links (Event Day Portal)
During the event, the Event Day section of Lumieos (accessible from the main navigation) provides quick links to event-day tools and documents for roles with the appropriate access. As a team attendee, the most relevant items are provided through your registration card in team management rather than the event day portal — the portal is primarily for event staff.
Staying Informed
- News bulletins — Event organizers can post news items that appear in the news card on your registration. Check this during the event for announcements.
- Event status badge — The event’s status badge on the events listing updates in real time to reflect the current phase (e.g., “Matches/Judging in Progress,” “Judges Deliberating,” “Awards Presentation”).
