Costs & Active Teams

Understand how costs are structured and how Lumieos determines whether a team is considered active for billing purposes.

Cost Structure

Please reach out to InnovAlda to request a quote or to discuss the cost structure.

What is an Active Team?

Some teams do not participate with a partner organization. The active team calculation is how InnovAlda and Lumieos determine which teams count toward a partner’s active team total.

Note: Once a team is considered active, it remains active for the rest of the season. Active status cannot be transferred between teams — for example, if one team disbands after becoming active and another team forms, the new team does not inherit the original team’s active status.

How a Team Becomes Active

A team is considered active when any of the following conditions are met.

Import Rule

A team becomes active once the roster shows at least two completed coaches and two completed youth members. “Completed” means all FIRST forms and screening requirements are finished (YPP Status shows as Complete).

Coach Activity Rule

A team also becomes active once any of the following actions are completed by an authorized user (coach):

  1. Any activity that results in the team reaching Status “Good” — in most cases the Import rule will have already been triggered before this happens.
  2. Registering for an event through the Lumieos platform.
  3. Completing an external callback-based form — for example, a Jotform or Smartwaiver submission that writes back to Lumieos.

Note: Only one of the above conditions needs to be met for a team to become active. The earliest trigger wins.
